Job Description:

POSITION TITLE: Relationship and Cultivation Coordinator

DEPARTMENT: Fund Development Department

CLASSIFICATION: Full-time, Non-Exempt

REPORTS TO: Director of Fund Development and Marketing

PRIMARY PURPOSE: Coordinate and implement fund development plan and activities, including executing cultivation events and engagement opportunities.

ESSENTIAL DUTIES/FUNCTIONS:

Maintain donor and prospective donor records in organizational database:

  • Input contact and contribution information into database according to established guidelines
  • Update and add new records in database
  • Support the creation and maintenance of donor cultivation plans
  • Create and publish recurring fundraising reports
  • Design and execute queries of database
  • Export data and generate mail-merge materials
  • Periodically reconcile donor accounts with bank and general ledger records
  • Produce reports as requested for special purposes

Nurture relationships with donors and prospective donors through communications:

  • Build and maintain relationships with donors and prospective donors
  • Attend meetings with donors and prospective donors to build and nurture relationships
  • Carry out donor and fund development participant satisfaction surveys and reviews
  • Coordinate direct mail fundraising campaigns, including the creation and maintenance of mailing lists, letters, envelopes, postcards, labels, etc – through in-house marketing department and/or outside vendors
  • Process acknowledgement letters to all donors within 48 hours of gift receipt
  • Answer donor questions regarding tax deductibility issues and matching funds
  • Ensure donors have been properly acknowledged
  • Ensure the security of constituents’ private information when used within Fund Development

Acquire and cultivate new donors and new donations:

  • Conduct preliminary research on prospective corporation, foundation, and individual donors
  • Pass leads of new and prospective donors to Director of Fund Development
  • Coordination of all materials required in grant submissions - ensuring delivery before deadlines

Provide project coordination and administrative support to Department:

  • Provide project coordination and administrative support to Department
  • Oversee and maintain Fund Development Department files
  • Manage and attend fundraising special events, as possible and as needed
  • Perform additional duties as required

JUDGEMENT/DECISION-MAKING

  • Work is diversified and may not always fall under established practices and guidelines. Duties may require creativity to resolve day-to-day issues independently
  • Consults with the others in event of any unusual circumstance, problem or question outside of specific instructions given, in order to resolve unforeseen problems or questions
  • Ability to implement and direct multiple projects, setting deadlines, and ensuring accountability in a fast-paced dynamic environment

RESPONSIBILITY/OVERSIGHT- FINANCIAL & SUPERVISORY

  • Gains cooperation from individuals and groups over whom there is no direct authority in order to accomplish goals
  • Limited financial responsibility – assists in preparation of budgets and meeting goals and objectives

COMMUNICATION/INTERPERSONAL CONTACTS:

  • Excellent written communication, listening, interpersonal, and presentation skills
  • Ability to interact with various YWCA constituencies such as vendors, members, donors, volunteers, and program participants
  • Creative approach to problem solving and idea generation
  • Communicates fund development objectives to management and team

WORKING CONDITIONS:

  • Work is performed in a smoke-free air-conditioned office environment
  • Ability to work under stress during peak workload periods
  • Requires willingness to work flexible hours for a 40 hour work-week
  • Ability to attend off-site events, as needed

EQUIPMENT USE:

Telephone, computer, photocopier, calculator, fax machine, folding machine, credit card processor.

PHYSICAL DEMANDS:

Prolonged periods of sitting and using the computer. Lifting printed materials and re-arranging furniture occasionally for department events --assistance from co-workers is always available

SKILLS/KNOWLEDGE:

  • Good organizational skills required, with strict attention to details in all tasks
  • Working knowledge of common utilities such as Adobe Acrobat and other publishing related tools
  • Familiarity with various resources to keep up-to-date with latest news in web design community and on-line social networking
  • Smart and quick thinker with a clear understanding of digital media, emerging technologies, online donor requirements and the social media movement

EDUCATION/TRAINING:

  • Bachelor’s degree in Communications, Marketing, Business welcome
  • Associate’s degree and equivalent experience also welcome

EXPERIENCE:

  • 3-6 years experience in relationship and customer management, and/or nonprofit fundraising preferred
  • Strong ties to businesses within the Hawai‘i community is helpful
