POSITION SUMMARY

The Personal Assistant to the Chairman provides administrative and personal support to increase the effectiveness of the Chairman. The Executive Assistant is a first responder when possible to inquiries to and requests from the Chairman.

KEY OBJECTIVES

Fulfill requests as needed from Chairman in a professional, timely and effective manner.

Be a team player and act as a gatekeeper to strategically structure a clear daily agenda and facilitate scheduling between the Chairman and company personnel.

Oversee his personal life ranging from assisting with management of home projects, family travel arrangements and running errands.

Bill paying and vendor management.

Develop and maintain an accurate and complete filing system to assure critical priorities are communicated to Chairman .

Provide administrative and personal support to Chairman foreseeing needs and proactively resolving issues.

GENERAL RESPONS I BI L I T IES

Maintain the Chairman ’s complex and constantly changing professional and personal calendar, strategically structuring his schedule so that he is on time, prepared and well rested.

Send a clear and detailed daily meeting agenda every evening so that he has full visibility over his day.

Draft correspondence and communicate to internal and external audiences and individuals on behalf of the Chairman

Assist with personal home projects, errands and other personal matters paying special attention to confidentiality.

Organize and schedule on-site and off-site meetings and conferences, ensuring appropriate facilities, documentation, and equipment are available.

Prepare meeting agendas, take notes at meetings, and relate relevant information to appropriate individuals.

Respond to voicemail, e-mail, and traditional mail on behalf of and as directed by the CHAIRMAN.

Compile information and prepare reports on assigned projects.

Keep records of Chairman and expenses and prepare necessary expense reports.

Organize and archive information for the Chairman and executive team.

Perform any other duties assigned by Chairman .

MINIMUM REQUIREMENTS

Bachelor’s degree or equivalent work experience.

Experience in providing support to senior executives preferred.

Able to handle personal, sensitive, and confidential information discreetly.

High initiative with ability to self-direct and establish priorities.

Exceptional interpersonal skills including written and oral communication and ability to work effectively as a team member.

Excellent organizational and follow through skills, attention to detail, and ability to work within time constraints with an aptitude for accuracy and timeliness.

Ability to maintain the flexibility necessary to handle changing priorities, diverse day-to-day responsibilities, and non-routine circumstances.

Strong knowledge of and proficiency in Microsoft Office products.

May be light travel if needed to company locations.
