Job Description:

Summary of Position: R. Greenleaf’s Peer Educators are the front line of customer service for the Organization’s clinic locations. A Peer Educator is responsible for providing excellent and compassionate customer service to the New Mexico Medical Cannabis Patients. It is the responsibility of those in the Peer Educator position to maintain both the clinic location itself, as well as the patient experience. To maintain the clinic location, duties of this position may include: cleaning, organizing, filing, and following all Company Policies. To maintain the patient experience, duties of this position may include: welcoming patients, verifying patient identification, creating/maintaining patient profiles, taking patient orders, processing payments, and patient education. Peer Educators are also expected to adhere to HIPAA laws, be actively aware of their surroundings, and to work closely with Managers to complete the mission of R. Greenleaf.

Duties and Responsibilities:

The following are required for this position at the R.Greenleaf:

  • Maintain a clear understanding of HIPAA laws and maintain their HIPAA certification with the organization.
  • Work with Clinic Managers and Shift Leads to perform a sweep and check of patient information to ensure that it is properly stored and disposed of (as applicable).
  • Maintain the professional appearance, exceptional customer service, and policy standards of R. Greenleaf as stated in the Employee Handbook, Code of Conduct, and all applicable policy and procedures.
  • Welcoming patients to the clinic, including checking patient identification for validity.
  • Informing non-patients of the organizational “Patients and Caregivers Only Inside the Clinic” policy and giving them information on the program, as they request.
  • Orienting new patients to the R. Greenleaf system, including processing new patient paperwork, making copies of identification, and giving a new patient consultation.
  • New Patient Consultations should include the education of the New Mexico Medical Cannabis Program, R. Greenleaf products, pricing, and patient limits as applicable.
  • Ongoing patient education, including informing patients of R. Greenleaf products, new products, and different merchandise to assist the medicating process. Peer Educators are also encouraged to educate patients on any ongoing specials, events, charity drives, and the Doc Program.
  • Peer Educators are required to take patient orders in an accurate and timely manner.
  • Orders are taken on the current Point of Sale System (or hand written invoices, as applicable)
  • Peer Educators are expected to use only their profile on the Point of Sale System, according to the Register Use Policy and Procedure.
  • Use of the POS includes: updating patient profiles, checking stock of medicine for patients, processing discounts, and making notes as applicable.
  • Orders are expected to be accurate, including delivering the correct product to patients, giving correct change, and ensuring all medicine is bagged with a receipt.
  • Ensure order accuracy before bagging up and stapling closed.
  • Peer Educators are required to be accurate with all cash tendering and payment processing, including: counting cash drawers accurately, making correct change, processing electronic payments accurately, correctly dropping monies during their shift, and all closing procedures for their registers.
  • Excellent customer services, including:
  • Addressing all patients in a respectful and polite manner,
  • Speaking clearly with patients and being sensitive to patient conditions
  • Offer care and gratitude whenever possible to ensure patients and caregivers understand that they are the reason for R.Greenleaf’s mission.
  • Contribute a positive experience for each patient by provided any needed assistance or information to all patients, whether they are waiting, new, have special needs, are disgruntled, or are at the counter to make their order, as necessary.
  • Peer Educators may also be asked to assist Management in the Farmacy, which includes duties such as:
  • Use of the Phone Log to record details of phone calls.
  • Answering the Clinic Telephone and Answering Questions.
  • Listening to all voicemails and responding to patients.
  • Dispense medicine and fill all orders in a timely manner.
  • Keep the Front of House Informed of Inventory levels.
  • Opening and closing the clinic as necessary, including all duties associated with it, such as setting up displays and samples, updating menus, websites, and voicemails.
  • Maintain a medically clean, organized, sanitary, and safe work environment by following all policies and procedures put for by the Organization and Management. Including all side work, including:
  • Patient Information Organization and Document Control
  • Sanitizing/Sweeping/Moping/Dusting/Deep Cleaning
  • Cleaning and Organizing Display Cases
  • Cleaning Windows
  • Watering Plants
  • Maintaining breakroom and bathroom cleanliness.
  • Preparing carry-out bags for patients.
  • Pay close attention to all safety procedures and assist the Clinic Manager/Shift Lead with monitoring suspicious activity in and around the clinic, while also being constantly observant for theft, embezzlement, sabotage, trespassing, fire hazards and other safety related situation such as medicine exchange/transfer from patients to non-patients.
  • Reporting any incidents or suspicious/unlawful activity to the Manager on Duty, as well as providing briefings and incident reports. This includes contacting police/emergency services as necessary.
  • All other duties as assigned by management.
