POSITION SUMMARY

The Patient Coordinator is responsible for patient orientation, data, paperwork, and upkeep. The Patient Coordinator must maintain accurate records of customer identification and registration documents, manage scheduling customer traffic flow, answer phones and respond to customer inquiries. The Patient Coordinator must record, arrange, and package customer orders. The Patient Coordinator must maintain an organized environment and facility appearance.

REQUIRED EXPERIENCE, EDUCATION AND SKILLS

  • Ability to answer multi-phone line system.
  • Ability to maintain focus in an active environment.
  • Ability to make decisions as necessary with oversight when needed.
  • Ability to regularly stand, sit, kneel, and lift up to 50 lbs. for extended periods of time.
  • Ability to work in a fast-paced, changing and challenging environment.
  • Accurate data-entry and record keeping.
  • Attends all required training sessions on security, customer relations, and other topics critical to your employment.
  • Cash handling experience preferred.
  • Excellent oral and written communication skills and attention to detail.
  • Experience in an office environment preferred.
  • Have a strong team ethic with the ability to work independently.
  • Knowledge of customer marijuana policy and law.
  • Must be at least 21 years old.
  • Proficiency in Windows based software and point of sale applications. Experience with METRC and Green Bits preferred.
  • Solid mathematical skills.
  • Strong attention to detail, organizational skills and time management abilities.
  • Superior customer service skills.

CORE JOB DUTIES

  • Communicate with customers about their personal goals in using customer marijuana and provide educational materials and resources for customers as needed.
  • Communicate with Dispensary Agents to maintain a steady customer traffic flow to maximize sales and customer satisfaction.
  • Educate customers on the processes of registration, renewals, lost registration documents, etc.
  • Ensure all customer files are current and required documentation is on file and follows all guidelines issued by the State.
  • Gather marketing data for all customers.
  • Maintain a basic understanding of the medicine, products, and services provided at Las Vegas ReLeaf Dispensary.
  • Maintain awareness of customer input and suggest changes to improve service or product.
  • Maintain knowledge of all applicable state and local laws, as well as documentation processes in accordance with the State of Nevada.
  • Maintain organization of desk space and waiting room through daily upkeep and light cleaning.
  • Obtain the appropriate documentation from each customer at every visit, ensuring validity of his or her identification and registration with the State.
  • Prepare documents as needed to assist customers’ register with the State.
  • Record and collaborate with the dispensary and transportation agents about preorders and online orders to ensure accurate order information and timeliness of delivery.
  • Record each visit using the customer management software, ensuring accuracy of customer information, and recording notes if necessary.
  • Record specific requests, preferences, and notes concerning customer registration status using the customer management software.
  • Respond to and resolve customer requests, complaints, or compliments in person, through email, and on the phone requesting supervisor support as needed.
  • Welcome customers as they enter the facility. Provide exceptional service for new customers by answering any questions they may have and providing brief orientations and tours when needed.
