Job Description:

Title: Office Manager

Summary:

The Office Manager (OM) will complete necessary tasks to keep the office and all associated logistics running smoothly.

The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. He or she will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

Roles and Responsibilities

· Arrive in time to open the office at 7:30 AM and close at 4:00 PM promptly.

· Demonstrates leadership to maintain credibility, trust and support with all team members.

· Determines appropriate course of action, referral, or response.

· Trains and orients new employees about the company policies, procedures and equipment.

· Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, occasionally with deadline pressures.

· Arrange office events such as staff meetings, holiday parties, happy hours, etc.

· Order office supplies and maintain inventory.

· Maintain a pleasant appearance of the reception area, conference rooms and break room.

· Accept and sign for packages, and distribute mail.

· Make courier arrangements. Travel to post office.

· Ability to manage special projects with confidence requiring minimal supervision.

· Light housekeeping duties

Qualifications:

  • Bachelor’s Degree preferred or at least 3 years of office management experience.
  • Driver’s license required.
  • Professional appearance and dress.
  • Punctual and responsible.
  • Advanced MS Word, Excel, and PowerPoint.
  • Proficient in Adobe, illustrator, photoshop.
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, customers, external partners, and vendors.
  • Expert level written and verbal communication skills.
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability.
  • Emotional maturity.
  • Highly resourceful team-player, with the ability to also be extremely effective independently.
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment.
