The Role

The Office Manager will organize and coordinate office administration and procedures, in order to ensure organizational effectiveness, efficiency and safety. The Office Manager is responsible for developing intra-office communication protocols, streamlining administrative procedures, inventory control, office staff supervision and task delegation. This energetic professional, who doesn’t mind wearing multiple hats, is experienced in handling a wide range of administrative and executive support related tasks and able to work independently with little or no supervision. This incumbent is well organized, flexible and enjoys the administrative challenges of supporting an office of diverse people.

Key Responsibilities

The key responsibilities for the position include, but are not limited to the following:

  • Achieves financial objectives by preparing an annual budget, scheduling expenditures, analysing variances, and initiating corrective actions.
  • Organizes office operations and procedures by preparing payroll, reviewing and approving supply requisitions, and assigning and monitoring clerical functions.
  • Develop organizational procedures and systems for office personnel, including filing, billing, accounts payable, payroll and scheduling.
  • Coordinate with IT department on all office equipment.
  • Manage employee schedules and troubleshoot scheduling conflicts as they arise.
  • Establish team atmosphere through leadership and employee development.
  • Partner with head office HR to update and maintain office policies as necessary.
  • Ensure timing completion of orders and deliveries to clients/customers.
  • Handle customer/client inquiries and complaints.
  • Ensure that all items are invoiced and paid on time.
  • Manage office G&A budget, ensure accurate and timely reporting.
  • Manage contract and price negotiations with office vendors, service providers and office lease.
  • Serve as the point person for office manager duties including: Maintenance, Mailing, Supplies, Equipment, Bills, Errands, Shopping.
  • Schedule meetings and appointments.
  • Organize the office layout and order stationery and equipment.
  • Maintain the office condition and arrange necessary repairs.
  • Assist in the on-boarding process for new hires.
  • Address employees queries regarding office management issues (e.g. stationery, Hardware and travel arrangements).
  • Liaise with facility management vendors, including cleaning, catering and security services.
  • Plan in-house or off-site activities, like parties, celebrations and conferences.

Qualifications and Experience

  • A Degree or Diploma in Business or Office Administration.
  • 5+ years of experience in Office Administration.
  • 5+ years of experience in managing a large team of employees.
