The Sweet Cannabis Office Coordinator will provide a wide range of support services and information to the Portland team, clients, and external stakeholders. This position will assist in organizing and maintaining office operations and procedures and will act as a communication intermediary between cross-functional departments and business locations. The successful candidate will exude passion for the industry and champion best practices in a high-volume, dynamic environment. The Coordinator will assist with day-to-day operations with a focus on efficiency and time management.

Job Description:

Your daily responsibilities will include:

  • Maintain databases and filing systems for client profiles, production testing documents, purchase orders and invoices;
  • Process forms such as expenditure claims, purchase requisitions and online supply orders;
  • Assist with accounts payable and accounts receivable processes;
  • Prepare documents, letters, memos, spreadsheets and agendas;
  • Assist with print requests, prepare pamphlets, flyers, manuals, and handbooks;
  • Perform basic office administrative duties such as answering and directing phone calls, addressing/directing staff inquiries, greeting and directing clients and visitors, scheduling and coordinating meetings, and providing information and materials where requested;
  • Coordinate and ensure preparation for special events and meetings, assist with registrations, payments, confirmations, training and event coordination; and
  • Other tasks as required.

Qualifications:

Knowledge:

  • Good understanding of Oregon cannabis industry and culture, policies and state regulations;
  • Knowledge of QuickBooks and/or other financial systems;
  • Working knowledge of basic office equipment; and
  • Knowledge of basic bookkeeping principles and office management systems and procedures.

Skills:

  • Proficiency with MS Office and Outlook applications, and possess the aptitude to learn other business-related applications as necessary;
  • Customer-centric mentality with focus on quality and service;
  • Strong interpersonal and relationship building skills;
  • Excellent attention to detail and strong organizational skills; Exemplary planning and time management skills; and
  • Good communication, listening and reporting skills.

Abilities:

  • Ability to take direction and prioritize parallel and competing projects;
  • Ability to multi-task and work independently with minimal direction; and
  • Ability to demonstrate patience, integrity and professionalism.

Other Qualifications and Experience:

  • Must be minimum of 21 years of age;
  • Possess or have ability to obtain a valid Marijuana Worker’s Permit;
  • Completion of High School Diploma or equivalent;
  • 1-2 years’ experience as an Office Assistant/Coordinator or Secretary;
  • Experience in customer service considered an asset;
  • Experience in the Oregon cannabis industry considered an asset.
