COMPANY OVERVIEW

Begun January 3, 2017 by Dr. Barry Gordon and Patrick DeLuca, the Compassionate Cannabis Clinic in Venice has become a renown center of practice for this exciting new field of patient choice. By focusing on our three tenets of deliberate practice - patient care, education, and advocacy - we have grown to be the largest single practice in the state focusing solely on evaluating patients with debilitating illnesses and qualifying them within Florida's legal medical cannabis program.

POSITION SUMMARY

We are currently looking for an individual with dedication, motivation, a pleasant demeanor, and a willingness to learn and grow within our thriving practice to handle all patient scheduling needs. The medical scheduler will be responsible for scheduling, canceling and rescheduling of patient appointments. Additionally, this position requires the ability to quickly answer complex and varied questions as well as transferring calls to relevant extensions within the practice.

Responsibilities are performed via phone and computer within our offices in Venice with a high volume of daily calls and fax requests from patients and/or referring physician offices.

ESSENTIAL DUTIES &RESPONSIBILITIES

  • Accept a high volume of inbound calls and schedule patient appointments (for both new and existing patients), while following scheduling guidelines and medical appropriateness while ensuring accuracy in a timely manner.
  • Complete outbound calls to schedule patient appointments while following scheduling guidelines and medical appropriateness while ensuring accuracy in a timely manner.
  • Complete outbound calls to reschedule patients as deemed necessary.
  • Follow up on all patient and referring physician inquiries.
  • Respond to all calls with courtesy and professionalism.
  • Research required information using accessible resources.
  • Manage and escalate priority issues; route calls and questions to appropriate resources.
  • Communicate relevant information to the scheduling supervisor, manager, technical director, administrator, and staff to maintain continuity of care.
  • Perform credibly in stress and emergency situations.
  • Learn and maintain proficient knowledge of all clinical policies and statutory requirements relevant to Florida's medical marijuana laws and regulations.
  • Perform other related duties within the job classification and/or organization, as is deemed necessary or as assigned by the Clinical Office Manager.

ADDITIONAL DUTIES

  • Supports, understands and implements company policies and procedures.
  • Maintains and compile records and reports as necessary.
  • Assures that patient rights to fair and equitable treatment, self-determination, individuality, privacy and civil rights are maintained.
  • Maintains confidentiality of all classified and sensitive information and records, including patient care information by the Health Insurance Portability and Accountability Act (HIPAA).
  • Assures that work and/or assignment areas are maintained in a neat, safe, clean and orderly fashion.
  • Operates office equipment as necessary; including computer terminals, printers, phones systems, fax machines, calculators, and copy machines.
  • Reports all unsafe/hazardous conditions, defective equipment, etc., without delay or when needed reports to appropriate department or vendor for immediate repairs.
  • Contributes to and maintains good working rapport with all patients, personnel and physicians, to assure that the organization's objectives can effectively meet the needs of patients and physicians.
  • Contributes to a positive working environment and encourages teamwork within the department and company.
  • Represents the Compassionate Cannabis Clinic and company employees to the community in a positive manner.
  • Follows established policies and procedures including safety and precautions.
  • Attends and participates in seminars, in-service educational classes, staff meetings and on-the-job training programs as required.

POSITION QUALIFICATIONS

  • Ability to learn specific medical terminology and software systems.
  • Good oral and written communication skills.
  • Ability to problem-solve; able to organize and prioritize.
  • Ability to work under pressure, and to complete assigned tasks under stressful situations.
  • Ability to pay attention to the minute details of a project or task and to perform the work accurately and thoroughly.

SKILLS AND ABILITIES

  • Must possess, as a minimum, a high school diploma or equivalent from an accredited institution, with emphasis in commercial and/or office practice courses.
  • Medical terminology/anatomy knowledge helpful.
  • Experience within customer service/call center environment and/or healthcare setting favored.
  • Excellent typing/clerical proficiency required
  • Medical Office experience is preferred
  • Skilled in Microsoft Office, Google and GSuite apps, and cloud based medical applications.
  • Must be able to communicate articulately and comprehend written and verbal communications

This position reports directly to the Clinical Office Manager. Starting wage is $10 per hour. Upon successful completion of a 90-day probationary period, the right candidate will be offered a comprehensive benefit package (medical/dental/vision), three paid personal days, a week of paid vacation after one year of tenure, and a raise in pay commiserate with their ability within the position.

Applicants must be able and willing to work from 9 AM to 6 PM weekdays and must be willing to take a Level-2 Background Check.
