Job Description:

Provide general office and laboratory administrative support and a wide range of services and information to the team, clients and external stakeholders. Organize and maintain office operations and procedures. Act as a communication intermediary between cross-functional departments and business locations. Handle daily operations with a focus on efficiency and time management, maintaining intra-office communication protocols, streamlining administrative procedures, inventory control, and task delegation.

Duties and Responsibilities

Answer phones/check voicemail

Sort and distribute incoming mail

Track and handle laboratory expenses and receipts in coordination with accounting department

Ensure orders are properly entered in to Confident Cannabis/LIMS and accounting system

Perform sample intake

Support Client Services Representative(s), as needed

Delegate, track and manage numerous parallel activities with minimal supervision

Implement and maintain filing systems for client profiles, employee files, production testing documents, purchase orders and invoices

Implement procedural and policy changes to improve operational efficiency

Coordinate schedules, appointments and event bookings

Generate a variety of reports to include department performance, expense, sales, operations

Conduct accounting responsibilities such as cash and payment intake, and expense processing, bank deposits

Prepare presentations as necessary and inform senior level management of changes in operation, data analysis, and other key reporting metrics

Coordinate and manage vendor relationships

Review and approve supply requisitions and receive shipments

Participate in Public Affairs related activities as required

Assume responsibility for facility operational duties as required (i.e. alarm systems, security cameras);

Monitor and maintain office and laboratory supplies, inventory

Perform other related duties as requested

Qualifications

3 – 5 years experience as an office manager or administrator

Cannabis Industry experience a plus

In-depth understanding of accounting, data and administrative management practices and procedures

Knowledge of office software packages and systems including QuickBooks=

Strong computer and technology skills; resourceful with sound research skills

Strong communication and presentation skills

Advanced computer skills, proficient with MS Office Suite

Working Conditions and Physical Requirements

Cannabis Testing Laboratory environment. Requires long periods of sitting.
