Summary
The Administrative Assistant is primarily responsible for overseeing administrative support functions and maintaining day- to-day administration for TGS Management IT department. Responsibilities include data entry and updates for projects, documenting work flow processes and standard operating procedures, and organizing IT policies. The position is responsible for documenting and communicating required actions to management while maintaining administrative workflow through reporting procedures and organizational structure implementation.
Essential Duties and Responsibilities
- Maintain a friendly, courteous, and compassionate demeanor
- Adhere to company mission statement and core values, while maintaining high ethical standards coupled with professionalism
- Uphold administrative workflow by studying methods, implementing organizational structure and developing reporting procedures
- Create as well as revise systems and procedures by analyzing operating practices, utilization of technologies, personnel evaluation and progressive implementation
- Maintain continuity of work operations by documenting deviation or irregularities and communicating necessary actions to management
- Create organizational standards for the Corporate Office and ensures proper communication with office employees in regard to expected maintenance of standards, including filing cabinets, electronic forms, files, and mail systems
- Efficiently establish and maintain office organization
- Communicate with management staff regarding company status, updates and initiatives
- Assist in management of day to day operations, including scheduling, sending business documents, retrieving signatures, taking messages, etc.
- Oversee administrative logistical support functions
- Write business letters, reports or office memos using word processing programs as needed
- Comprehend a variety of compliance requirements which govern the cannabis industry, including but not limited to the following agencies: Marijuana Enforcement Division, Fire Department, City Zoning and Planning, Colorado Department of Public Health and Environment, FBI and more
- Perform extensive online research on federal, state, county and city government in regard to cannabis rules and regulations
- Develop reporting policy and procedure for change of management to corresponding jurisdiction
- Maintain rapport with customers, managers and employees by arranging continuing contacts, establishing priorities and resolving issues
- Maintain suggestion system by controlling administrative technical aspects in accordance with management directives
- Preserve confidentiality of sensitive company information
- Provide information by diligently responding to questions and requests
- Accomplish company mission by completing related results as needed
- All other job duties as assigned
Qualifications
Education
- High School diploma or General Education Development (GED) required
- Bachelor’s Degree in relative field
Training
- Must maintain current knowledge and adhere to all policy and regulations of the Colorado Marijuana Enforcement Division (MED), Colorado Department of Public Health and Environment (CDPHE), and Health Insurance Portability and Accountability Act (HIPAA), TGS Management and any other applicable regulatory agency
- Must maintain current knowledge of and adhere to all policy and procedures of TGS Management
Required Skills & Experience
- Excellent computer, mathematics, language and reasoning skills
- Proven organizational, policy writing, and administrative background
Preferred Skills & Experience
- Knowledge of Colorado marijuana laws, MED regulations, and CDPHE requirements; previous marijuana industry experience preferred with priority given to candidates with experience in CO licensed facilities
- Interest in technology
- Some IT background

- Must be able to individually lift up to 25 lbs.
