POSITION DESCRIPTION

Job title: Front Desk Receptionist

Location: Oakland, CA

Reporting to:

Salary: $14+ HR DOE

SUMMARY

We are looking for a competent Front Desk Receptionist/Administrator to help with the organization and running of the daily administrative operations and front office efforts, ensuring the rest of the staff has adequate support to work efficiently.

MAIN RESPONSIBILITIES

  • Coordinate front office activities and operations to secure efficiency and compliance to company policies
  • Manage agendas/travel arrangements/appointments etc. for upper management if needed
  • Manage phone calls and correspondence (e-mail, letters, packages etc.)
  • Create and update records and databases with personnel, financial and other data
  • Sort and distribute communications in a timely manner
  • Prepare email blasts and social media posts to support ongoing marketing efforts and outreach
  • Create and manage promotional materials for tradeshows, candidates, and clients in an effort to increase brand awareness
  • Create and update records ensuring accuracy and validity of information
  • Schedule and plan meetings and appointments
  • Monitor level of supplies and handle shortages
  • Resolve office-related malfunctions and respond to requests or issues
  • Coordinate with other departments to ensure compliance with established policies
  • Maintain trusting relationships with suppliers, customers and colleagues
  • Perform receptionist duties when needed
  • Assist colleagues whenever necessary

ESSENTIAL QUALIFICATIONS

  • Minimum two (2) years of working experience in an Administrative capacity, preferred supporting senior level executives
  • Excellent knowledge of MS Office or MAC applications (Excel, Word, PowerPoint and Outlook)
  • Familiarity with Smartsheets is considered an asset

Salary: $12.00 to $14.00 /hour
