Functional Medicine of Georgia is looking for a Front Office Coordinator for a Functional Medicine (Non-Conventional) medical practice.
The qualified candidate must be highly motivated, self-driven and is a highly organized individual with the ability to demonstrate multi-tasking in a multi-disciplinary practice of functional medicine,neuro-regenerative medicine, addiction, pain management, Georgia medical cannabis, and other ancillary practices.
Candidate MUST live within 10 miles of Alpharetta/Milton or 20 minute drive, with reliable transportation. Must be available for Monday-Saturday!

Job Duties include:
- Administrative duties at the front desk.
- Manage the day to day flow of the office.
- Maintain focus on a productive schedule that supports Physician & Clinical Staff as they deliver high quality patient care and exceptional experiences.
- Maintain weekly communications with supervisor regarding operations.
The primary responsibility of the Front Office Coordinator is to manage and control the front desk area by welcoming patients and coordinating directly with the Physician & Clinical Staff. The F/O Coordinator interacts with the patient and ensures that check-in and check-out is carried out accurately, friendly and efficiently. Answers general questions about policies, procedures, and services. This is the first point of contact for our patients and top customer service skills should be employed to ensure that the patient experience is positive. Position works under general supervision and reports to Business Manager.
- Welcome, orient, and greet patients in an enthusiastic manner.
- Assist patients in filling out or updating paperwork. Reviews information for thoroughness and obtains copies of photo ID & insurance cards.
- Schedules appointments with necessary info and updates accordingly.
- Call and confirm patients of appointments and keeps an accurate response log. Follows up with no-show patients and makes proper documentation.
- Registers all patients and reviews sign-in sheet to ensure all visits are billed.
- Maintain weekly communications with supervisor regarding operations
- Work with all departments to assist with calls/work flow
- Check all voicemails
- Direct and respond all incoming and outgoing faxes
- Direct and respond all emails to appropriate departments
- Opens and distributes mail and assists in keeping the office organized. Has a general understanding of sensitive & confidential material, and can properly handle HIPAA compliant data.
- Prepare daily log and daily deposit sheets. Make sure billing charges and collections match routing slips and deposit slips.
- Performs administrative duties; answering phones, cleaning workspace, and assisting with other tasks as needed to ensure a smooth office environment.
- Scan all client paperwork into EMR system
- Confirm scheduled meetings, and appointments with the physician.
- Able to explain all office services available and types of payment categories.
- Entrusted with handling confidential company material and is fully aware of HIPAA and its practices.
- Assists with supervising additional front desk personnel and ensures quality patient service.
- Maintains Senior-level customer service orientation at all times.

- Answering phones/calling back new patients to schedule
- Calling patients who submit email inquiries about becoming a new patient
- Scheduling the new patient's follow up appointment
- Communicating all costs of office services, labs and office visits with the patient
- Secure credit card or form of payment for future balances
- Making sure patient gets new patient email and all paperwork and information they need in order to start at the practice
- Taking care of all new patient cancellations and rescheduling
- Calling patients with upcoming appointments to remind them of their appointment, and reminding them of preparations for the appointment
- Order & Maintain Inventory for products offered at the clinic
Compensation : Starting at $15/hour, with the opportunity to advance after 3 months, An evaluation will be done showing your effectiveness and competency in the practice. Opportunity to advance to a office management role will also be considered.
Qualifications:
- Other Training, Skills, Certifications, & Key Competencies:
- Batchelor’s and or High School graduate and formal training from a vocational school or equivalent
- 2+ year Proven experience as office coordinator or in a similar role ina clinical setting; work with an office that provides either one of these services: functional medicine, naturopathic medicine, integrative medicine, holistic medicine and or a Wellness center. Preferred but not required.
- Strong, typing, written and verbal communication skills
- Must be proficient in Microsoft/Apple Macintosh Pages, Numbers, Excel, PowerPoint and Word.
- Strong telephone skills.
- Ability to multitask is a must.
