POSITION DESCRIPTION

Job title: Executive Assistant

Location: Oakland, CA

Reporting to: VP of Operations

SUMMARY

Under direct supervision, this position is responsible for supporting the Vice President of Operations by performing administrative and clerical duties. Provide executive and administrative support by handling information requests, respond to community requests, assist with projects, prepare, review, and maintain presentations, reports, and documents. Perform clerical functions such as prepare correspondence, receive visitors, and assist with scheduling meetings and travel.

MAIN RESPONSIBILITIES

  • Calendar Management: Manages VP's calendar by prioritizing schedules and meetings. For example, may decide who gets on principal's calendar, what meetings are attended, and who can attend instead.
  • Meeting Planning and organizations: Assists VP in planning and organizing meetings by taking responsibility for assembling the agenda, location, meeting technology based on participant needs, and all other meeting logistics. May further prepare meeting briefing documents by taking and disseminating notes and formulating post-meeting action item list.
  • Travel Briefing Preparation: Create travel packs for international trips as well as large domestic events such as Cisco Live, etc. This work includes combining all event information in addition to coordinated logistics of travel and also customer/team asks.
  • Correspondence/Approvals: Supports VP by acting as a proxy for communications and approvals as authorized. Answers general questions as necessary and refers (filters) routine matters to appropriate parties and follows up to ensure proper disposition. Takes initiative to resolve problems within specified policies and guidelines and provides mentoring to administrative community members on problem-solving. Determines when executive action is required and supplies a recommendation where appropriate.
  • Travel: Responsible for making travel arrangements for VP. Carefully considers and decides the optimum travel arrangements and itinerary for calendared meetings while managing Cisco expenses. Works diligently to go the extra mile, working with the airlines direct to accommodate Global Services benefits for upgrades whenever they are available.
  • Special Projects: Provides analytical support to assist executive on special projects. Researches issues, analyze problems, compiles data, and prepares reports.
  • Large Corporate Events: Prepare and brief itinerary as well as accompany VP for large Corporate Events such as GSX, where EA's are leveraged for executive support.
  • Confidentiality: Candidate will deal professionally with sensitive and confidential matters and materials.

ESSENTIAL QUALIFICATIONS

  • 3+ years in a professional office setting, preferably in higher education.
  • Proven organizational, editorial, interpersonal, and time management skills.
  • Must be an effective writer and verbal communicator.
  • Ability to work independently and as part of a team.
  • Ability to handle changing priorities and to respond to last-minute changes in calendar/schedule and make appropriate adjustments to work flow.
  • Ability to take initiative and creatively solve problems.
  • Excellent organizational skills and a high degree of accuracy of work, with excellent attention to detail and the ability to multi-task and set priorities.
  • Ability to work in a fast-paced environment with a high level of discretion required as position involves confidential data.
  • Knowledge of and proficiency with PC or MAC (including Outlook, Excel and PowerPoint), and ERP systems
  • Must be authorized to work in the United States;
