The responsibilities of the Executive Assistant to the President within Garden Remedies, Inc. (GRI) broadly embrace the key areas described below. The most critical role is to ensure our President and CEO has the capacity to perform her duties in the most efficient way possible. Working alongside the President, the Executive Assistant will assist her with errands and daily business activities, while also acting as her driver. Outstanding communication skills, the ability to assess the President’s needs, organizing her schedule and providing detailed information and correspondence on demand will be critical to the role.

Responsibilities:

  • Working primarily from the President’s home in the Boston area, the Personal Executive Assistant will also act as her driver
  • Manages the President’s calendars and scheduling
  • Prepares correspondence with a high attention to detail utilizing excellent communication skills
  • Answers incoming phone calls and email on behalf of the President
  • Runs errands as needed
  • May attend meetings and will be responsible for note-taking. A high level of discretion is required as confidential discussions will frequently occur
  • Prepares reports and presentations
  • Maintains contact lists
  • Coordinates travel itineraries
  • Works cross-functionally and collaborates with members of the GRI team
  • Conducts research on various matters as needed
  • Maintains a level of intellectual curiosity regarding the benefits of cannabis medicine as well as health and wellness trends
  • Practices fine dining level customer service by providing extraordinary attention to the President’s needs while communicating information honestly. Must go above and beyond to try and effectively respond to questions and concerns
  • Practices empathetic care utilizing active listening, eye contact, welcoming body language and warm tone of voice. Must be sensitive to different customers’ needs and be able to adapt accordingly
  • Is knowledgeable about MA cannabis compliance and regulations
  • Maintains a clean and professional appearance
  • Able to respond to changing needs and manages multiple priorities in a dynamic and fast paced environment
  • Completes other duties as assigned in a timely and appropriate manner

Qualifications:

  • Must be 21 years of age
  • High School Diploma or equivalent required
  • Bachelor’s or Master’s Degree in a business or service capacity preferred
  • Intermediate to Advanced Microsoft Office proficiency
  • Demonstrated ability to work cross-functionally and collaboratively
  • Flexible availability to respond to unplanned needs
  • Has cannabis knowledge and is up to date on current trends in the industry as well as health and wellness trends
  • At least three years’ experience in executive and/or high level administrative support
  • A strong work ethic and ability to maintain a positive attitude in a high demand environment
  • Intellectual curiosity specifically in regards to cannabis medicine

Supervision:

  • Works under the general supervision of the President and CEO
  • This position is not responsible for supervising other employees

REQUIRED SKILLS

  • At least 21 years of age.
  • High School Diploma or Equivalent required
  • Bachelor’s degree strongly preferred (or commensurate experience).
  • Demonstrated passion to serving the needs of executive employees
  • Excellent communication and customer service skills
  • Computer operating skills
  • Must be able to pass a background check
  • Must not have been convicted of any felony offense
  • Medical marijuana and recreational marijuana product knowledge highly desirable
  • Experience in a complex, fast-paced environment
  • Ability to genuinely and respectfully connect with all levels of the organization
  • Desire to learn more about cannabis
  • Organization and planning skills
  • Able to juggle multiple rapidly changing priorities in a dynamic and fast paced environment
  • Strong operational skills in a customer-service environment
  • High level of emotional intelligence and team-building skills
  • Ability to pass all required background checks to work with cannabis
  • Ability to communicate clearly and concisely, both orally and in writing
  • Ability to build relationships both internally as well as in the community
  • Ability to handle confidential and sensitive information
  • Ability to work a flexible work schedule including nights, weekends and holidays

Job Type: Full-time

Salary: $65,000.00 to $75,000.00 /year
