Position: Executive Assistant to the CEO/COO

Job Overview
Have a Heart is a cannabis retailer headquartered in Seattle, Washington. We are entering an aggressive period of expansion and need an experienced Executive Assistant who wants to work in this exciting industry. Reporting directly to the CEO and COO, the Executive Assistant to the CEO/COO will provide administrative and developmental support to the executive team and the company’s company’s senior leadership.
Responsibilities and Duties
- The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO and COO.
- Assists the CEO/COO with daily administrative duties and completes a broad variety of administrative tasks that include managing an active calendar of appointments; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries and agendas and compiling documents for meetings.
- Communicates with the general staff on the CEO/COO’s behalf and coordinates logistics with high-level meetings both internally and externally.
- Coordinates meetings and strategic activities with the senior leadership team.
- Communicates directly and on behalf of the CEO/COO with board members, staff, and others on matters related to company initiatives as directed.
- Supports CEO/COO in their external commitments related to special projects, including service on external boards, committees and other working groups.
Qualifications
- 5 + proven years of experience as an executive assistant.
- Bachelor’s degree or equivalent experience with social sciences background and an interest in the cannabis industry and its movement.
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
- Experience in providing support for upper-level management in a related organization
- Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners and VIP’s.
- Proficiency in Windows, including MS Word, EXCEL and PowerPoint as well as Google’s G-Suite.
- Ability to conduct research and present data in a succinct and well-written manner.
- Ability to work independently and with professional discretion.
- Excellent writing, editing, grammatical, organizational, and research skills.
- Ability to work with a broad range of people including major VIP’s, Board members, colleagues of the CEO/COO and staff, and others.
