The Executive Assistant provides administrative and project- based support to the President of East Coast Market and other senior leaders he/she designates through managing and maintaining executive priorities, scheduling and deliverables. This individual will create, manage, and maintain schedules, reports, priorities, reminders and deadlines. This role provides a high level of coordination for the executives, and proactively utilizes a project management approach to conduct this coordination. The ideal person will possess outstanding organizational skills, strong attention to detail, efficiently manage multiple priorities, maintain a high sense of confidentiality, and a have great work ethic and act with a high degree of integrity.

Responsibilities:

  • Manages executive schedules, meetings, and travel arrangements.
  • Proactively identifies and anticipates scheduling, functional needs, action/follow up items, priorities and planning.
  • Provides reminders and/or coordination of internal and external communication/contacts and projects
  • Proactively manages projects, tasks and deliverables.
  • Develops and coordinates presentations, disseminates data, reports, metrics, research, correspondence, agendas, etc.
  • Provides general administrative support for the main office i.e., answering the corporate phone line, event planning, minor facilities work such as maintaining conference rooms and ordering office supplies and food service for the office.
  • Oversees the company’s managed travel program.
  • Handles a high volume of confidential and sensitive information; maintaining confidentiality of all organizational information.
  • Manages and maintains expense reimbursements.
  • Other administrative duties as requested, including personal assistant requests.
  • Other specially assigned projects by the President of the East Coast Market.
Qualifications

  • 7+ years’ experience supporting an executive
  • Associates degree or equivalent experience required.
  • Strong administrative skills and professional demeanor required.
  • Excellent communication and interpersonal skills, with the ability to build relationships at all levels, both internally and externally.
  • Proven organizational, project planning, and prioritization skills.
  • High level of professionalism and integrity, including dealing with confidential information.
  • Commitment to quality work, customer service and a “can do” attitude.
  • Works well in a “high touch” environment and possesses excellent customer service skills.
  • Resourceful and able to work independently with good judgment, initiative and common sense.
  • Ability to anticipate needs, find alternative solutions and be proactive in achieving desired outcomes.
  • Strong project management skills, including the ability to manage multiple projects.
  • Ability to work within an environment of frequently changing priorities.
  • Ability to work in a demanding, fast paced environment, including flexible and/or extended hours as needed.
  • Meeting, event, and calendar planning skills
  • Excellent written and verbal communication skills.
  • Possesses a high level of critical thinking.
  • Experience with Google Suite for Business required. Experience with Microsoft Office products is required.
