Job Description:

OVERVIEW OF POSITION: Performs a variety of complex clerical, secretarial, and administrative duties in keeping official records, providing administrative support to the Executive Department, Legal Division, City Clerk, and assists in the administration of all standard operating policies and procedures.

ESSENTIAL DUTIES:

Coordinates appointments, registrations, and travel for the City Manager with citizens, businesses, committees, and associations.

Composes, types, and edits a variety of correspondence, reports, memoranda, and other material requiring judgment as to content, accuracy, and completeness.

Operates office machines as required.

Provides administrative services to the Association of Grant County Cities and Towns and the Lodging Tax Advisory Committee including but not limited to preparing meeting packets and meeting minutes, maintaining records, preparing reports and correspondence, coordinating meetings and schedules.

Schedules and manages the Civic Center facility rental events.

Coordinates department approvals and monitors status of Washington State liquor and cannabis board permits.

Serves as greeter for visitors to Civic Center on behalf of City Manager and staff.

Answers in-coming calls, routes as appropriate, and provides information as required; receives the public, provides customer service assistance.

Receives and distributes incoming and out-going mail for the Administration Department.

Acts as the Municipal Court Clerk i.e. composes, types, and edits a variety of correspondence, reports, memoranda, and other material requiring judgment as to content, accuracy, and completeness; receives and processes citations and court reports, and serves as clerk for the Municipal Court Judge.

Serves as a Public Information Officer including but not limited to the oversight of continuity for all website content, manages the administration website content and facilitates training for department staff, and maintains the City’s social media accounts

Performs notary services for the City.

Performs other work as assigned.

WORK SCHEDULE:

The “normal” work schedule is 40 hours per week, 8 hours per day 5 days per week (Monday through Friday). Working evenings or weekends may be required on a “call-back” basis. The exact schedules may be flexible, depending on work requirements, and are assigned and approved by the City Manager. It is the attendance standard of the employer that employee be present and on time each shift they are scheduled to work. Full or partial absences during any scheduled shift, arriving late, or leaving early, for whatever reasons, may result in disciplinary action up to and including termination of employment. Time off may be approved if allowed by applicable policies covering illness, injury, or other personal emergencies.

EDUCATION/VOCATIONAL PREPARATION:

Any combination of experience, training, or education that demonstrates the knowledge, skills, and abilities to do the job.

TRAINING PERIOD:

In order to experience the full range of responsibilities and duties, employees will serve a review and evaluation period of not less than six (6) months and no more than twelve (12) months. Exact duration will be established by the immediate supervisor.
