Summary
TGS Global, a successful and rapidly growing cannabis company is looking for a proficient Executive Administrator to join the team. The Administrator is primarily responsible for overseeing administrative projects, auditing software, and maintaining day- to-day business administration for the CIO. The Administrator provides office services by fulfilling administrative systems and procedures, as well as monitoring administrative projects and developing work flow processes. The position is responsible for documenting and communicating required actions to management while maintaining administrative workflow through reporting procedures and organizational structure implementation.
Essential Duties and Responsibilities
- Manage auditing software (Permissions, new audits, maintenance, etc.)
- Conduct executive level audits
- Act as point of contact for priority projects
- Track Executive action items from inception to completion
- Analyze and report audit system data for performance and patterns
- Provide analytics and updates to CIO
- Manage Executive ticketing to ensure timely completion
- Coordinate administrative workflow and manage standard operating procedures
- Create and revise systems and procedures by analyzing operating practices.
- Create organizational standards for Division Managers and ensure proper communication with employees regarding expected maintenance of standards, including filing cabinets, electronic forms, files, and mail systems
- Efficiently establish and maintain office organization
- Communicate with management staff regarding company status, updates, and initiatives
- Oversee administrative logistical support functions
- Act as primary point of contact in place of CIO
- Maintain rapport with customers, managers, and employees by arranging continuing contacts, establishing priorities, and resolving issues
- Maintain suggestion system by controlling administrative technical aspects in accordance with management directives
- Preserve confidentiality of sensitive company information
- Administration of Executive projects
- All other tasks and job duties as assigned
Qualifications
Education
- High School Diploma or GED required
- Bachelor’s Degree in a related field preferred
Training
- Must maintain current knowledge of and adhere to all policy and regulations of the Colorado Marijuana Enforcement Division (MED); Colorado Department of Public Health and Environment (CDPHE), and Health Insurance Portability and Accountability Act (HIPAA), and TGS Management
Required Skills & Experience
- Excellent influential, collaborative, and relationship building skills
- Excellent computer, mathematical, language, and reasoning skills
- Experience using Microsoft Office applications and familiarity with current versions
- High-level attention to detail
Preferred Skills & Experience
- Retail operations and/or sales experience beneficial
- Familiarity with human resources, common employment best practices, and/or labor laws preferred
- Ability to prioritize tasks and meet deadlines with a shifting workload in a fast-paced environment
- Knowledge of Colorado marijuana laws, MED regulations, and CDPHE requirements; Previous marijuana industry experience preferred with priority given to candidates with experience in CO licensed facilities
- Cannabis industry experience preferred

Physical Requirements
- Must be able to individually lift up to 25 lbs.
- Must be able to sit, stand, stoop, crouch, reach, and lift for long periods of time

- Must be able to work in an office environment with moderate to loud noise level
- Must be able to acquire MED Support badge ($75 Fee to State of CO) prior to beginning employment
