Job Summary

Performs a broad range of duties for an executive or executive team, as assigned. Manages appointment scheduling and meeting/event logistics; maintains assigned calendars. Responsible for preparing agendas and materials for regular and special meetings; secures requested information and compiles various reports. Handles telephone calls and emails as requested, routing them to others or dealing with them directly, as appropriate. Prepares a variety of communications including emails, memos, and meeting minutes as needed. Processes expense reports. Book travel arrangements including pre-authorizations.

Examples of Essential Functions:

Responsibilities include, but are not limited to, the following:

  • Provide support and coordination on projects, with the ability to quickly re-prioritize in order to meet deadlines.
  • Coordinate and schedule meetings based on executive/group availability as needed. Includes scheduling the conference room and all related technology as well as provisions.
  • Ensure event logistics are planned appropriately and in advance of the event.
  • Manage travel arrangements, as needed, including pre-authorizations.
  • Distribute and track documents, ensure proper routing/approvals and deliver or file when finalized.
  • Audit and process expense reports and route for approval.
  • Prepare presentations, emails, memos and other written communication pieces.
  • Administer, organize and maintain project and department files, both electronically and in hard copy.
  • Attend project / community meetings and prepare meeting minutes as assigned.
  • Perform other related duties as assigned.
  • Submit and process invoices/check requests.
  • Maintain and order office supplies as needed.
  • Onboard and set up new hires.
  • Handle calls and emails as appropriate.
  • Support reception coverage.
  • Provide customer service, troubleshoot and documenting phone call/experience and routing to appropriate department.
  • Additional duties as required.

Qualifications Guidelines


Education/training/experience:

  • 3 to 5 years of experience in administrative support or relevant work experience, preferred.
  • Bachelor's degree preferred.
  • Ability to work proactively and autonomously on a daily basis.

Knowledge of:

  • Must be detail-oriented, organized and capable of managing tasks on multiple, concurrent projects.
  • Must have excellent verbal and written communication skills.
  • Must have well-developed interpersonal skills with the ability to establish highly functional relationships with diverse personalities both within and outside the company.
  • Strong computer skills (Google, MS Office, and other software programs).

Physical Standards

  • Constantly sitting, standing, walking, and operating a computer workstation.
  • This position may rarely require kneeling, bending, squatting.
  • Reach, stoop and lift office files, records or reports, typically weighing 20 pounds or less.
  • Must have finger dexterity, ability to use keyboard/ten key
