Job Description:

Hinman & Carmichael LLP is a nationally-recognized specialty law firm that represents clients in the highly-regulated alcoholic beverage and cannabis industries. We help businesses get their licenses to sell, market, and distribute alcohol and compliantly navigate the complex federal and state regulatory environment.

Under the direct supervision of the Executive Director, this position provides administrative support for the firm and executive administrative support for the attorneys. Keen judgment is required to plan, prioritize, and organize a diversified workload, and recommend efficiencies in office practices and procedures.

Responsibilities include:

  • Schedule and organize firm meetings, travel, conferences, and other activities.
  • Create and revise visual presentations for the attorneys using PowerPoint.
  • Maintain and update filing system for the firm. Retrieve information from files when needed.
  • Process incoming and outgoing mail.
  • Respond to regular requests for information and assistance.
  • Work independently and as part of a team on special nonrecurring and ongoing projects.
  • Act as project manager for special projects, at the request of the attorneys and the Executive Director, which may include planning and coordinating presentations, disseminating information, coordinating direct mailings, or creating brochures.
  • Type general correspondence, blog posts, website posts, memos, charts, tables, graphs, business plans, etc. Proofread copy for spelling, grammar, and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
  • Maintain firm inventories and libraries.
  • Other duties as assigned.

Required Qualifications:

  • 2 years of heavy administrative assistance experience.
  • Tech-savvy with excellent computer skills, including knowledge of Microsoft products.
  • Professional demeanor; strong communication and problem-solving skills; high level of discretion and confidentiality.
  • Self-starting attitude and demonstrated ability to get things done.

Preferred Qualifications:

  • Blogging, website, and/or social media experience.
  • Basic photo editing skills.
  • Experience with Clio, Lexicata and the Adobe suite of products.
