Job Description

This role contributes to Wick & Mortar’s success by leading the creative team to provide seamless execution and project management support with strong customer-focus, financial and account management experience and a solid business acumen. The ideal candidate must possess a strong project management and business development background including demonstrated experience with complex, multi-year phased initiatives, continuous improvement, change management and metrics/reporting/KPI’s. A proven track record in delivery execution under schedule and resource demands and competing priorities is a must, as are strong executive communication, collaboration and leadership skills. Demonstrates ability to build and lead high-performing team of creatives responsible for managing and delivering branding and marketing resources and assets. Provides insights into corrective action, works respectfully and effectively across multiple functions and departments, removes roadblocks and facilitates execution. Comfortable working independently in ambiguous, unstructured environments (the cannabis industry) while driving adoption of new processes, policy & procedures and growth mindset and further developing organizational maturity to improve effectiveness and efficiency.Direct experience in marketing operations, marketing, brand/product management and/or retail industry are a plus. Broad business knowledge and understanding of multiple business disciplines, including: operations, go-to-market strategy and operations, marketing, brand/product development, creative/agency, finance and/or continuous process improvement/LEAN.

Summary of Key Responsibilities

1.1 Project Management

  • Manage creative team to meet client’s vision
  • Timelines & Schedules
  • Communicate with other business on client’s behalf
  • Complete purchase orders and work orders
  • Maintain spreadsheet of packaging orders to keep track of cost, markup, payments, and amount owed
  • Organize notes and revisions from client and relay to creative team
  • Plan and execute internal creative meetings/ strategy sessions

1.2 Business Development / Operations

  • Overall business process and procedure (sales to proposal to creative team to deliverables to follow up)
  • Job roles and responsibilities - further development of roles and responsibilities.
  • Checklists for creative departments
  • Modify terms and conditions - If needed - process to be determined
  • Restructure proposal line items and packages
  • Adjust prices to services based on business and market metrics (in tandem with Creative Director)
  • Create flow chart of responsibilities throughout proposal process
  • Find additional ways to improve processes: brand book, creative brief, purchase orders, work orders, strategic sourcing (In tandem with rest of team)
  • Learn software system and teach to rest of team
  • Work with developers to create custom software and functionality with business structure
  • Organize weekly strategy and operations meetings, take minutes, and lead implementation of actionable items, if applicable
  • Send contracts to independent contractors
  • Assist with onboarding/offboarding of clients

1.3 Finance/Accounting Management

  • Create Work Orders and Purchase Orders for client (as mentioned in 1.1 Project Management)
  • Create and send invoices when necessary
  • Receive payments from clients
  • Create and print checks to contracted employees when necessary (I’m the backup for the bookkeeper)
  • Proposal budget reports
  • Monthly time and budget reports
  • Maintain running list of signed projects and status to project cash flow
  • Communicate with bookkeeper, creative team, and clients to facilitate timely payments and follow up on delinquent payments
  • Present monthly ad/or quarterly “state of the union” financial reports

1.5 System Development

  • Implement new software program to company
  • Work closely with developers to fix bugs
  • Write and organize company’s Process and Procedures for how to use the new software
  • Monitor transition from one software to another with employees
  • Figure out terminology and process of new software and all of its applications
  • Schedule and direct tutorial meetings for company and staff

Office Management

  • Check mail
  • Order office supplies when needed
  • Maintain office assets and devices inventory list
  • Facilitate office cleaning schedule
  • Keep track & organize office events (e.g. holiday parties and birthdays)
