Summary
The Corporate Receptionist is primarily responsible for providing administrative support in the TGS Management corporate. This includes, but is not limited to printing, copying, binding and maintaining resource calendars while also upholding a welcoming demeanor during all interactions. The Corporate Receptionist is also the centralized point-of-contact for all general office supply ordering, stocking and organization. Candidates must have experience in package handling, petty cash management, account maintenance/management as well as be a director of first impressions with a positive and welcoming demeanor.
Essential Duties and Responsibilities
- Maintain a friendly, courteous, and compassionate attitude
- Adhere to company mission statement and core values while maintaining high ethical standards and professionalism
- Maintain administrative workflow by studying methods, implementing organizational structure and developing reporting procedures
- Oversees basic administrative duties, including sign-in logs, parking reimbursement, package handling and employee check distribution
- Create and revise systems as well as procedures by analyzing operating practices, learning technological requirements, evaluating personnel and implementing changes
- Maintains continuity of work operations by documenting and communicating required action to management; discover irregularities and anticipate needs
- Create organizational standards for the Corporate Office and assure proper communication between office employees of expected maintenance of standards in relation to filing cabinets, electronic forms, files, and mail systems
- Efficiently and accurately establish as well as maintain office organization
- Connect with management staff regarding company status, updates and initiatives
- Understand a variety of compliance requirements which govern the cannabis industry, which include the following types of regulatory agencies, but not limited to: Marijuana Enforcement Division, Fire Department, City Zoning and Planning, Colorado Department of Public Health and Environment, FBI and more
- Research government websites, including federal, state, city and county agencies rules and regulations for operations in the cannabis industry
- Maintain rapport with customers, managers and employees by arranging continuing contacts, developing new services, setting priorities and resolving issues
- Monitor suggestion system by directing and controlling administrative technical aspects in accordance with management directives
- Preserve confidentiality of sensitive company and employee information
- Provide information by answering questions and requests
- All other job duties as assigned
Qualifications Education
- High School diploma or General Education Development (GED) required
- Bachelor’s Degree in relative field
Training
- Must maintain current knowledge and adhere to all policy and regulations of the Colorado Marijuana Enforcement Division (MED); Colorado Department of Public Health and Environment (CDPHE), and Health Insurance Portability and Accountability Act (HIPAA), TGS Management and any other applicable regulatory agency
- Must maintain current knowledge of and adhere to all policy and procedures of TGS Management
Required Skills & Experience
- Excellent computer, mathematical, language and reasoning skills
Preferred Skills & Experience
- Knowledge of Colorado marijuana laws, MED regulations, and CDPHE requirements; Previous marijuana industry experience preferred with priority given to candidates with experience in CO licensed facilities
- Customer Service, receptionist and/or sales experience a plus
- Familiarity with human resources, common employment best practices and/or labor laws preferred
