DUTIES & RESPONSIBILITIES *

  • Serves as a liaison with project management reporting on inspections, subcontracting, progress, and delays.
  • Proactively identifies and works to resolve any site issues that may impede the project delivery.
  • Develops and maintains accurate and complete files for projects and programs; continues to monitor for integrity and completeness.
  • Interacts with team and subcontractors as required by the project.
  • Tracks progress and deadlines of projects, makes notes, and documents conflicts.
  • Attends project coordination meetings.
  • Provides operational support to Construction and Expansion team.
  • Provides flexible administrative support to enhance productivity and exceed business needs.
  • Provides administrative support with faxes, copies, mailing, file organization, and preparation.
  • Handles requests and queries appropriately and using good judgement.
  • Assistance with planning team travel arrangements.
  • Any other office administrative or related tasks as requested by management.
Requirements:
QUALIFICATIONS *

  • 0-2 years of experience with office administration and/or construction project coordination.
  • Strong organizational skills and detail-oriented.
  • Proficiency using MS Office applications.
  • Excellent writing and editing skills.
  • Ability to work in a team environment and collaborate with other staff members when help is needed.
  • Ability to multitask, and work without direct supervision.
  • Knowledge of office management systems and procedures.
  • Superior customer service skills and phone etiquette.
  • Must be able to manage multiple projects, set priorities, and meet deadlines.
  • Participate in ongoing education and professional development opportunities.
  • Work collectively and respectfully with other team members.
  • Ability to work in a fast-paced environment.
  • Ability to manage high stress situations and to be flexible and adaptable when a situation requires it.
  • Through extended periods, must be capable of sitting, squatting, standing, kneeling, bending, or walking throughout the work day. Must be capable of sitting in front of a computer for extended periods of time.
  • At least 21 years of age and authorized to work in the US.
  • Proper employment documentation.
  • Reliable transportation and valid driver’s license.
  • If necessary, ability to work 7 days per week and to be flexible with schedule.
  • Environmental Requirements and Exposure, depending on work location:
  • Exposure to fertilizer, dusts, odors, high heat, low temperature, high and low humidity, high noise levels, vibrations, water, dry salts, allergens, pollen, dust, plant pathogens, other volatile organic compounds, and other environmental variables.
EDUCATION *

  • Minimum High School or G.E.D equivalent is required.
