The Sira Naturals Assistant Dispensary Manager is fully accountable for all day-to-day retail dispensary operations, specifically focused on customer service, staffing, sales, and financial management. Assistant Dispensary Manager partners and reports to Dispensary Manager.
Job Responsibilities:
Financial
- Demonstrate ability to understand financial goals, operate assets in owners' best interest in accordance with established Policies & Procedures.
- Maintain accurate records of all dispensary transactions and submit on timely basis as requested by executive team
- Assist in preparation of annual budgets and income projections in a timely and accurate manner.
- Provide constant vendor/contractor communications concerning scheduling, billing, vendor relations and certificates of insurance.
- Ensure that A/P invoices are processed for payment on at least a weekly basis. Responsible for petty cash accounting.
Sales
- Ensure dispensary operations are prepared for service and customers daily.
- Utilize marketing strategies to best obtain prospective patients.
- Confirm that Patient Liaison techniques are effective in communicating to customers on the sales floor.
- Confirm that sales staff gathers information about market competition in the area.
- Continually monitor and analyze traffic logs, conversion ratios, budget guidelines, marketing data, etc. and be able to interpret this information.
- Represent the company in a professional manner at all the times.
DPH Regulations/Compliance
- Maintaining all aspects of dispensary operation in strict compliance with Department of Public Health, municipal, and state legal regulations and requirements.

- Variance issues between internal tracking and Virtual Gateway
- Restrictions on deliveries and visitors
- Ensuring that CEO and top management are advised on all pertinent RMD operations.
- Overseeing dispensary maintenance including but not limited to: HVAC, plumbing, repairs, snow removal, front entry cleanliness, and technology fixes as needed.
- Maintaining professional and technical knowledge by attending educational workshops and industry events; reviewing medical cannabis publications; establishing personal networks within the industry.
- Initiating and maintaining positive relationships with abutting businesses and neighborhood groups and associations.
Administrative
- Prepare and/or implement procedures and systems within company guidelines to ensure orderly, efficient workflow.
- Confirm all corresponding paperwork are completed and input to software system accurately and on a timely basis.
- Ensure any patient files are properly maintained.
- Ensure all administrative paperwork is accurate, complete and submitted on a timely basis.
- Lead emergency team for dispensary. Ensure proper response and handling of all dispensary emergencies with staff, customers, buildings, etc. within company guidelines.
Personnel Management
- Consistently use successful techniques and company directives to screen, hire, orient and train new personnel.
- Ensure efficiency of staff through ongoing training, instruction, counseling and leadership. Plan weekly/daily office staff schedules and assignments.
- Coordinate maintenance schedule and assignments with Maintenance Supervisor.
- Identify and address employee issues on a timely basis. Document appropriately, communicate the situation to your supervisor and the human resources department, and terminate properly when necessary.
- Ensure all administrative processes involving personnel are handled on a timely basis (i.e., performance evaluations, salary reviews, time sheets, change of status forms, etc.).
Maintenance
- Maintain dispensary appearance and ensure repairs are noted and completed on timely basis. This requires regular dispensary inspections.
- Ensure that dispensary sales floors are walked daily.
- Ensure that all service requests are recorded and communicated appropriately to maintenance.
Safety
- Learn and ensure compliance with all company, local, state and federal safety rules.
- Ensure that unsafe conditions are corrected in a timely manner.
- Direct staff to follow a "safety first" principle.
Requirements
- Pass DPH background screening and have reliable transportation.
- Minimum 2 years retail sales/management experience.
- Fluent in MS Office application suite, with emphasis on Word and Excel. Must be willing to learn accounting, tracking and inventory control applications.
- Physical aptitude and health necessary to perform manual labor tasks required for the proper management of RMD. May include: sitting, standing, stooping, stretching, walking, bending, twisting, reaching, performing repetitive motions, carrying boxes, and ability to lift up to 75 lbs. and push/pull up to 100 lbs.
