Tasks and Responsibilities

  • Provide professional administrative support, as well as company leadership in general as needed.
  • Manage the company’s office.
  • Answer phones and greet and direct all visitors, including vendors, clients, and customers
  • Ensure completion of paperwork, sign-in and security procedures * Coordinate software support staff onsite visits and schedule appointments
  • Process customer tag pick-up orders and sales
  • Process expense receipts
  • Maintain files and records
  • Maintain the office clean and orderly
  • Maintain supplies inventory by checking stock to determine inventory levels; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
  • Perform data entry and scan documents
  • Run company’s errands to post office and office supply store as needed
  • Direct calls to the appropriate recipients

Minimum Qualifications

At the very least, the qualified applicant will meet ALL of the following requirements:

  • Have an Associate’s degree
  • Be fully bilingual (English & Spanish)
  • 3+ years of administrative support experience
  • Proficiency in MS Word and MS Excel
  • Knowledge of operating standard office equipment
  • Excellent communication skills – written and verbal (English & Spanish)
  • Ability to prioritize tasks and strong problem solving skills
  • Attention to detail

Desired Qualifications

The following qualifications are preferred, but not necessarily required:

  • Good research skills

Supervisory Responsibility

This position has no supervisory responsibilities.

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Physical Demands

This is largely a sedentary role; however, this would require the ability to lift 30 lbs., open filing cabinets and bend or stand as necessary.
