POSITION

We are seeking a master multi-tasker with excellent communication skills and an upbeat attitude. The successful candidate will have a proven track record in providing polite and professional assistance and support to our company.

RESPONSIBILITIES

  • Office housekeeping
  • File organization
  • Office functionality maintenance (printers, computers)
  • Package and process outbound shipments utilizing various logistics carriers
  • Receipt of 3rd party logistics shipments to multiple locations
  • Recording and routing of inbound and outbound messages (phone, e-mail, walk-in)
  • Reception (upkeep of visitor log, appointment scheduling)
  • Monitoring weekly routine services for various outside vendors
  • Maintain calendar of events (visiting exec.’s travel and lodging schedule, cleaning schedule)
  • Monitor and schedule to pay rent and utility/bill payments
  • Light accounting
  • Procurement of routine weekly facility supply needs for production, shipping and offices
  • Expert proficiency in word processing, spreadsheets, document creation and data entry
  • Record and audit employee timesheets daily checking for accuracy and discrepancies
  • Inventory control

REQUIREMENTS

  • Proven experience as an administrative assistant or office admin assistant
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, like printers and fax machines
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
  • High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
  • Must have a reliable automobile and valid driver’s license
