Duties

This position provides administrative support to the Special Investigation Section (SIS) and Narcotics Section Lieutenants within the Investigative Assistance Division (IAD).

PRIMARY RESPONSIBILITIES:

  • Monitor, process and track all billing payments, supply orders, and special purchases. Reconcile receipts and process billings for all division-related travel.
  • Monitor, process and track all travel and purchase cards statements for division
  • Point of contact for all IAD fleet records, vehicle registrations, maintenance files, and vehicle log.
  • Support the Narcotics Lieutenant in coordinating the bi-annual Task Force Commanders Conference and annual Domestic Cannabis Eradication program meetings. This includes preparation and distribution of announcements, registration, and attend when necessary.
  • Facilitate registrations and travel arrangements for Narcotics and SIS staff.
  • Make airline and hotel arrangements for division personnel.
  • Review travel/training requests for completion and accuracy and track travel/training requests.
  • Identify and provide input on division administrative improvements.
  • Assist in establishing procedures for administrative processes.
  • Assist with preparation of budget reports and Strategic Advancement Forum reports.
  • Coordinate and assist with the coordination of position advertisements, allocation requests, and completion of necessary documents associated with new positions, change of specialty pay and clothing allowances.
  • Serve as purchase coordinator for SIS and Narcotics equipment including necessary office supplies and research of specialty equipment needs.
  • Distribute and track completion of all division employees required training and enter training onto permanent record.
  • Prepare, review, and edit correspondence for grammar, punctuation, and formatting.
  • Office reception to include greeting incoming IAD guests, receive incoming calls, assist citizens and allied law enforcement agencies with IAD related questions.
  • Monitor and coordinate repair services for office facilities and/or equipment.
  • Retrieve, review and distribute mail from intra-office and post office.
  • Serve as back-up for Division Secretary.
  • Coordinate and collaborate with the Agency Records Officer and IAD Secretary to respond to all public disclosure requests (PDR) for the division.
  • Responds to all records requests from the Risk Management Division related to AGO requests, litigation requests, etc.
  • Locate and accurately redact the documents that are responsive on a PDR and deliver by the specified due date.

Qualifications
REQUIRED QUALIFICATIONS:
  • Must possess High School diploma or GED equivalent.
  • Three years of progressively responsible experience in office/clerical, secretarial, or general administrative work. Formal education may substitute year-for-year for experience.
  • Must possess a valid Washington State driver's license.
  • Ability to type a minimum of 40 wpm accurately.
  • Ability to use Word, Excel and Outlook computer programs at an intermediate level.
  • Positive outlook, professional demeanor and customer service skills – in person and on the telephone.
  • Dependability and flexibility, Strong work ethic, and willingness to seek out additional work when assigned tasks are complete.
  • Demonstrated ability to communicate openly, clearly, and effectively.
  • Willingness and ability to maintain confidentiality.
  • Strong organizational skills; proven ability to prioritize work and meet deadlines.
  • Attention to detail and accuracy, very good proofreading skills and willingness to double check work.
  • Willing to work in excess of 40 hours per week to meet deadlines as needed.
  • Willing to travel for training as needed.


DESIRED QUALIFICATIONS:

  • Ability to multi-task in a fast paced environment.
  • Experience in creating, developing, and managing Excel spreadsheets.
  • Excellent customer service skills; ability to network with other agencies.
  • Reply to correspondence and accomplish tasks in a timely manner.
