The essential duties include but are not limited to the following:

  • Maintain professionalism and courtesy in answering telephone; directs calls to the appropriate department, documents messages and answers general inquiries;
  • Assist with the proofing, editing and formatting of written correspondence and forms;
  • Writing letters or correspondence;
  • Receive, log and process building maintenance work orders;
  • Provide general administrative support to department directors as needed;
  • Resolve routine questions and problems and refers more complex issues to higher levels;
  • Maintain files as required;
  • Meet all safety requirements and maintain a safe work environment;
  • Demonstrate active commitment to quality and continuous improvement;
  • Attain basic familiarity with facility practices;
  • Job filing and data entry: new project setup, maintain checklists, create digital and hard copy folders;
  • Assist with vendor management;
  • Initiate and organize transmittals and maintain log books;
  • Purchase and stock office, warehouse, mailing, and shipping supplies;
  • Organize and schedule outgoing mail and shipments via UPS, FedEx and USPS;
  • Secure and maintain database of certificates of insurance for corporate entities and subcontractors;
  • Arrange corporate travel including hotels, cars, and flights;
  • Must be able to work extended hours/overtime when needed to support business needs;
  • Other duties as assigned.

Requirements:

To perform the job successfully, an individual should demonstrate the following competencies:

  • Excellent written and verbal skills;
  • Ability to operate multi-use copiers, printers, scanners and fax machine;
  • Ability to prioritize and multi-task while supporting several different departments;
  • A passion for customer service;
  • Superior interpersonal skills, telephone manner, and knowledge of business protocol;
  • Impeccable communication skills and superior organizational capabilities;
  • Ability to work both independently and as part of a team;
  • Must be able to multi-task and work with limited supervision;
  • Ability to maintain high standards despite pressing deadlines;
  • Ability to anticipate and seek out needs and ask for further clarification when necessary;
  • Excellent organization and follow up skills;
  • Punctuality and excellent attendance record is a must.

Education/Experience:

  • High School diploma or GED equivalent.
  • Min 2 years in an office environment
