The LCB is announcing an opportunity for a non-permanent Administrative Assistant 2 in the Enforcement and Education Division. The Administrative Assistant 2 (AA2) reports to the Program Specialist and provides support to the supervisor position and the Enforcement and Education Division staff statewide. This position is part of the Headquarters and Division Support team. In this role, you will use independent judgment, establish priorities, and solve problems as well as coordinate the enforcement equipment inventory and the Division fleet. As the AA2, you will be responsible for developing and/or modifying work methods, procedures, or strategies to solve new or unusual problems.

Duties
Fleet Management:
- Responsible for the statewide enforcement vehicle fleet. Schedules appointments between staff and Vendors for vehicle lights and radio installations. This includes new hire and exiting staff (car turn in or issuance).
- Transports vehicles between locations for maintenance or reissue. Keeps a step by step process excel spreadsheet updated that reflects where vehicles are in the process.
- Keeps documentation of mailed vehicle tabs, Good to Go passes, Waive to GO passes and vehicle chains. Coordinates maintenance requirements with the State Motorpool to ensure pool cars are maintained before the issuance. Ensures the vehicles are clean at turn-in by officers and issuance to officers. Reconciles equipment transfers. Ensures that the monthly miles are entered into the Motorpool system for vehicles that are in transition and on site.
Asset Management:
- Is the liaison between the Support Service and Enforcement division to ensure all equipment assets are recorded correctly and in a timely manner.
- Recommend items from vendors for vehicle accessories / equipment purchases; and forward findings to finalize purchase information.
- Maintain common and equipment storage room organized.
- Reconcile packing slips, invoice and bills of received items and ensure that all items are inventoried before mailing it to the officer in the field office.
- Accompany new hires for uniform and shoe fittings.
- Ensure that academy gear has been delivered before the new hire attends the academy.
- Keep records/filing systems in place of transfer documentation and maintains enforcement field and headquarters equipment inventory.
Records Management:
- Run bi-monthly statewide DUI catalogs and emails them to the WSP.
- Prepare and routes confidential documents for management staff.
- Prepare letters and reports, researches and summarize information for supervisor, prepares documentation of fleet summaries, schedules and attends meetings.
- Maintain confidential filing systems and coordinate archiving with agency record retention policies.
Administrative Support:
- Answer phone calls, taking messages and ensuring they are received by the intended recipient in a timely manner.
- Organize information for statistical reviews and/or calculation through excel spreadsheets of statewide enforcement staff.
- Analyze and work with the headquarters and regional support staff in ongoing improvement of office procedures. Assist in a Lean culture by fostering on-going process improvements.
- Back-up to processes the division's incoming and outgoing mail daily.
- Assist the Training Lieutenant Manager with setting up files, keeps up on filing systems and prepares training packets.
Qualifications
Required Qualifications
- High school Diploma or equivalency
- Four years of office support experience at the senior clerical level
- Must be knowledgeable and proficient using the Microsoft Office Suite programs including Outlook.
Desired Qualifications
- A Bachelor's degree in business administration, public administration or closely allied field
- Clerical or office work experience may be substituted for education on a year-for-year basis, provided at least one year included experience at the Administrative Assistant 1 level.
Special Requirements
- Must successfully pass a criminal history and fingerprint background check.
- Must successfully pass a credit check.
- Must successfully pass a pre-employment drug/alcohol screening.
- Must maintain a valid Washington State Driver's license.
