POSITION DESCRIPTION

Job title: Accounts Payable Manager

Location: Bay Area, CA

Reporting to: Division Controller

Job type: Full-time

SUMMARY

The AP Manager oversees the analysis, processing, and payment of vendor invoices. The AP Manager will develop and implement leading practices for the AP function to maintain segregation of duties and efficiently process supplier invoices. The AP Manager will also facilitate relationships with key suppliers.

MAIN RESPONSIBILITIES

  • Maintain the monthly accounts payable cycle and maintain accurate records for product testing, tax liabilities, and inventory control
  • Must be able to operate in a shared services environment across several business entities
  • Confirm received products meet regulations before payments are made
  • Mature and support internal control requirements
  • Complete scheduled and unscheduled vendor payments
  • Perform complex payment reconciliations and check coding on supplier refunds
  • Provide forward looking cash requirements
  • Receives, researches and resolves a variety of internal and external inquiries concerning account status, including communicating resolution to stakeholders
  • Maintain and abide by cash handling standards
  • Review and reconcile month-end reports and coordinate closing process for Accounts Payable
  • Investigate and resolve problems associated with processing invoices and purchase orders. Work with purchasing and receiving departments as needed. Configure workflow as needed for automated approval/coding going forward
  • Create and maintain sufficient and timely backup for complex accounts
  • Maintain vendor relations through timely phone calls and research as needed.

ESSENTIAL QUALIFICATIONS

  • Bachelor’s Degree in Finance, Business, Economics, or a related discipline is required
  • One or more years of experience in Accounts Payable or accounting required
  • Excellent verbal and written communication skills to effectively interact with management, staff, and external vendors as required
  • Ability to analyze business conditions and understand the processes of accounts payable, sales and general ledger accounting
  • Proficient with MS Office applications (Excel, Word, Outlook, etc.) and experience with QuickBooks Enterprise is a plus
